Purchase Options Cancellation Policy

This policy explains how VenueScreen customers can cancel or change subscriptions, packages, equipment orders and other purchase options.
It should be read alongside our Terms of Service, Shipping Policy and Privacy Policy.
1. Business Customers
VenueScreen services are intended primarily for pubs, clubs, bars and other business or organisational customers.
Business customers do not automatically have the same cancellation rights as individual consumers. Cancellation will therefore be governed by this policy, your order confirmation and the VenueScreen Terms of Service.
Nothing in this policy limits any statutory rights that cannot legally be excluded.
2. Monthly Subscriptions
VenueScreen subscriptions are billed monthly in advance using the payment method agreed when the order is placed.
Your subscription includes the services and monthly advert allowance shown in your selected package or quotation.
Unless your order states otherwise, subscriptions continue automatically each month until cancelled in accordance with this policy.
3. Minimum Subscription Term
Any minimum subscription term will be clearly stated on your quotation or order confirmation.
You may request cancellation during the minimum term, but the subscription will normally remain active and payable until the minimum term ends.
If no minimum term appears on your order confirmation, your subscription will be treated as a monthly rolling subscription.
4. How to Cancel a Subscription

Your cancellation request should include:

Your name.
-
Your venue or business name.
-
Your billing address.
-
The package you wish to cancel.

Your requested cancellation date.
Cancellation requests must be made by an authorised account contact.
We will confirm your cancellation in writing. If you do not receive confirmation within five working days, please contact us again.
5. Cancellation Notice
Unless your quotation states otherwise, you must provide at least 30 days’ notice to cancel a subscription.
Your service will continue during the notice period, and normal subscription charges will remain payable.
Cancellation will take effect on the later of:

The end of the 30-day notice period; or
-
The end of any agreed minimum subscription term.
6. Cancelling a Payment Method
Cancelling a Direct Debit, standing order, card authority or other recurring payment does not cancel your VenueScreen agreement.
You must submit a cancellation request directly to VenueScreen.
If you cancel the payment method without cancelling the agreement, outstanding subscription charges may remain payable and your service may be suspended.
7. Refunds of Subscription Payments
Monthly subscription charges are paid in advance and are not normally refundable once the billing period has started.
We do not normally provide:

Partial-month refunds.

Refunds for unused advert allowances.

Refunds where the venue chooses not to request adverts.
-
Refunds because a television has been switched off or disconnected.
-
Refunds for interruptions caused by the venue’s internet, power or equipment.
Where VenueScreen is unable to provide a substantial part of the paid service for reasons within our reasonable control, we may offer an appropriate credit, partial refund or extension.
This does not affect any legal rights relating to services that have not been provided with reasonable care and skill.
8. Unused Advert Allowances
Unused monthly advert allowances:

Do not carry over to another month.
-
Cannot be transferred to another customer.

Have no cash value.
-
Cannot be exchanged for a refund.
An advert will normally count towards your allowance once design work has started, even if you later decide not to publish it.
9. Changing Your Package
You may request an upgrade or downgrade by contacting VenueScreen.
Upgrades
An upgrade may begin immediately or from the next billing date, as agreed. Any additional charge will be confirmed before the upgrade is activated.
Downgrades
A downgrade will normally take effect from the next billing date after any required notice period and minimum term have been completed.
Advert allowances and other package features will change when the new package takes effect.
Changing a package does not automatically restart a minimum term unless we clearly tell you and you agree before the change.
10. Cancelling an Equipment Order
Equipment orders may include:

Configured VenueScreen media players.
-
Additional media players.
-
Power supplies.
-
HDMI cables.
-
HDMI splitters.
-
Other installation accessories.
To cancel an equipment order, contact us as soon as possible.
Before configuration or dispatch
If the equipment has not been configured, ordered from a supplier or dispatched, we will normally cancel the order and refund the equipment payment.
After configuration
If a media player has already been configured specifically for your venue, we may deduct the reasonable cost of configuration, administration or work already completed.
After dispatch
If the equipment has been dispatched, the order may not be cancelled without our agreement. Business customers may be responsible for:

The original delivery charge.
-
Return-delivery costs.
-
Configuration costs.
-
Any loss in value caused by handling, damage or missing packaging.
You must contact VenueScreen before returning any equipment. Unauthorised returns may not be accepted.
11. Setup and Self-Installation Charges
The setup or self-installation charge covers work and items that may include:

Supplying the media player.
-
Configuring the player.
-
Creating the venue account.
-
Connecting the player to the management platform.
-
Preparing installation instructions.
-
Packaging and dispatch.
The setup charge is not normally refundable once equipment configuration or account setup has started.
If you cancel before this work begins, we will normally refund the setup charge.
12. Advert-Creation Cancellations
You may cancel an individual advert request before design work begins without using your monthly advert allowance.
Once design work has started:

The advert will normally count towards your monthly allowance.
-
Any separate design charge may remain payable.
-
Cancelling the advert does not restore the used allowance.
-
Work completed up to cancellation is non-refundable.
If you want to replace the cancelled advert with a substantially different promotion, it may be treated as a new advert.
13. Approved or Published Adverts
Once an advert has been approved or published, cancellation does not entitle you to a refund.
We can remove or expire an advert on request. Removing an advert does not restore the relevant monthly allowance.
You are responsible for notifying us promptly if an event is cancelled, postponed or changed.
14. Faulty or Incorrect Equipment
Cancellation restrictions do not remove your rights where equipment is:

Faulty.
-
Damaged before delivery.
-
Incorrectly supplied.
-
Not as described.
Contact us promptly and follow the process in our Shipping Policy and Terms of Service.
Do not return equipment without first obtaining return instructions from VenueScreen.
15. Consumer Cancellation Rights
VenueScreen primarily supplies business customers. However, if you qualify as a consumer under UK law, you may have additional cancellation rights for purchases made online, by telephone or away from business premises.
These rights may include a 14-day cancellation period, subject to legal exceptions.
If you ask us to begin configuration, advert creation or another service during a statutory cancellation period, you may be required to pay for work completed before cancellation.
Your statutory rights are not affected by this policy.
16. What Happens When a Subscription Ends
When your subscription ends:

New advert creation will stop.
-
Remote uploading and scheduling will stop.
-
Technical support linked to the subscription may end.
-
Adverts may stop displaying.
-
VenueScreen’s remote-management access may be removed.
-
The media player may need to be reconfigured before another use.
-
Any outstanding balance will become payable.
-
Stored artwork may be deleted after a reasonable period.
You should request any final advert files you are entitled to receive before the service ends.
17. Reactivating a Cancelled Service
If you later wish to restart VenueScreen, availability and current pricing will apply.
A reactivation, configuration or replacement-equipment charge may apply if the original player:

Has been reset or modified.

Is no longer connected to our management platform.
-
Has become incompatible or faulty.
-
Needs to be replaced or reconfigured.
We will confirm any charge before reactivation.
18. VenueScreen’s Right to Cancel
VenueScreen may suspend or cancel a service where:

Payments remain overdue.
-
The customer seriously or repeatedly breaches our Terms.
-
Unlawful or infringing content is supplied.
-
Our systems, equipment or credentials are misused.
-
Continuing the service would create a legal, security or safety risk.
Where reasonably possible, we will provide notice and an opportunity to resolve the problem.
